Wright State University, located in Dayton, OH, invites applications for an Assistant to the Executive Director of Wright State University’s Nutter Center. This individual will assist the Executive Director in managing the Nutter Center, a premier sports and entertainment facility, by coordinating event booking and accompanying compliance forms, managing student workers, working with promoters in event scheduling, advising in matters of policy and procedures and acting as MOD (manager on duty). This position represents the Nutter Center in the absence of the Executive Director when designated.

Job Duties / Essential Functions:

Program and Policy Development- 25%
Serve as coordinator of the arena schedule utilizing event booking website in such a way as to maximize facility usage. Work in conjunction with the Executive Director on event booking and promoter contact to achieve planned event load and mix, and to meet or exceed net revenue targets. Initiate, administer and coordinate event contracts, insurance requirements and tax forms to insure compliance with Wright State University policies and procedures. Utilize problem-solving skills to resolve any issues related to event booking, customer/patron issues and internal employee conflicts. Advise the Executive Director on all issues including personnel, fiscal affairs and event programming. Assist the Executive Director by monitoring deadlines, scheduling executive and administrative meetings and preparing correspondence. Develop procedures and policies that streamline processes and benefit the entire team, for a more efficient department.

Schedule/Event Coordination- 25%
Maintain communication with university departments to coordinate their scheduling needs (classes, athletic practices, open recreation, intramurals, meetings, etc.) in McLin Gym, the arena, classrooms and various other spaces in the Nutter Center. Schedule rentals from external parties in McLin Gym and select events in the arena, in addition to serving as event coordinator for those events. Communicate with representatives from approximately 16 high schools in order to coordinate high school graduations in the arena, including conducting an annual breakfast meeting to review contracts, insurance requirements and services offered.

 

Department Operations- 20%
Function with full oversight responsibility for hiring, scheduling and supervising 3-4 student workers. Establish, implement and maintain policies and procedures for the operation of the Nutter Center student workers by coaching, counseling and disciplining employees; planning, monitoring and appraising job results. Develop an intern program, and recruit, hire and supervise interns for the department. Assign projects to interns and student workers. Serve as the department training coordinator, ensuring that all employees are current with training in their respective areas.

 

Outreach- 15%
Represent the Executive Director in all areas of department operations as needed. Serve as liaison to community leaders, event promoters and campus personnel. Maintain a good working relationship with Nutter Center building tenants and university departments. Actively work to promote the image and visibility of Wright State University and the Nutter Center. Build relationships with the university and surrounding universities to create potential interest in internships the fit the facility’s needs.

 

Program Assessment- 10%
Actively participate in continuing education of Emergency Preparedness and Response Plan. Maintain current knowledge of the facility management industry through professional seminars, meetings, and organizational membership/participation. Participate as an active member of the Nutter Center senior management team and assume additional responsibilities designated by the Executive Director in his/her absence.

 

Other Related Duties- 5%

  • Serve as MOD (manager on duty) at designated events (requires working nights, weekends and holidays). Miscellaneous projects as assigned.

Required Qualifications:

Bachelor’s Degree and two years related work experience, with at least one year of direct employee supervision experience. Must possess strong written and oral communication abilities, knowledge of business grammar, strong organizational skills, and ability to deliver work on time and adapt to constantly changing work conditions and responsibilities. Must be proficient with various computer system platforms, applications and personal computers.

Preferred Qualifications:

Previous experience working in a fast paced, event driven environment. Experience with Wright State University processes, web-based applications and Banner a plus.
